Startup Bookkeeping Showdown: Median vs. Pilot vs. Kruze vs. Bench vs. DIY
Choosing a bookkeeping service is one of those decisions that feels minor until you realize it affects your tax bill, your investor conversations, your cash flow visibility, and your sanity. And most comparison articles are written by one of the providers being compared, which makes them about as useful as asking a barber if you need a haircut.
We reviewed the five most common approaches to startup bookkeeping: Median, Pilot, Kruze Consulting, Bench, and the DIY approach (QuickBooks + freelance bookkeeper). We evaluated each on the criteria that actually matter to early-stage founders: pricing, close cadence, integrations, metrics, tax support, and pricing transparency.
Here's what we found.
What We Evaluated
Every startup's accounting needs are slightly different, but these six criteria apply universally:
Pricing: What does it actually cost per year, including onboarding fees, tax prep, and supplemental charges? Not just the headline number.
Close cadence: How often are your books closed and reconciled? Monthly is standard. Daily is emerging as the new benchmark for startups that need real-time financial visibility.
Integrations: Does it connect natively to the tools startups actually use (Stripe, Mercury, Ramp, Brex, Gusto, Deel)? Or does it require manual imports and workarounds?
Metrics: Does the platform include startup-relevant metrics (MRR, ARR, churn, CAC, LTV)? Or do you need a separate tool for that?
Tax support: Does the provider handle startup tax filing, R&D credits, and startup-specific tax strategy? Or is tax a separate engagement?
Transparency: Can you see pricing and scope before a sales call? Are there hidden fees?
The Contenders
Median
What it is: AI-powered managed accounting, tax, and metrics for startups. Books closed every business day.
Pricing:
Starter: $99/month (cash-basis, year-one startups)
Growth: $399/month (accrual-basis, full integrations, SaaS metrics)
Scale: $849/month (multi-entity, multi-currency, fractional CFO)
Tax filing: $1,499/year
R&D credits: 10% of credits received
Annual cost for a seed-stage startup: ~$6,287 (Growth + tax filing)
Close cadence: Daily. Books are closed every business day.
Integrations: Native connections to Stripe, Mercury, Ramp, Brex, Gusto, Deel, and 10,000+ financial institutions.
Metrics: Built-in SaaS metrics dashboard (MRR, ARR, churn, CAC, LTV) included in Growth and Scale plans.
Tax support: Full tax filing included as an add-on. R&D tax credit support priced on a success-fee basis.
Transparency: All pricing published on the website. No sales call required. Monthly billing.
Best for: Pre-seed through Series A startups on modern fintech tools who want everything managed at an accessible price point.
Trade-offs: Newer company with a shorter track record than established players. Less suited for Series B+ companies with complex multi-entity structures (though the Scale plan does support multi-entity).
Pilot
What it is: Outsourced bookkeeping and CFO services for startups and growing businesses. One of the larger players in the space.
Pricing:
Bookkeeping starts at $499/month
CFO services up to $5,000/month
Annual upfront payment required
Onboarding fee equal to one month's payment
Supplemental work billed at $145/hour
Annual cost for a seed-stage startup: ~$7,000 - $12,000+ (bookkeeping + onboarding + tax, depending on complexity)
Close cadence: Monthly.
Integrations: Connects to major platforms but some integrations (especially Stripe) have been reported to require manual cleanup.
Metrics: Limited. Does not include a native SaaS metrics dashboard comparable to Median's.
Tax support: Available as an add-on. R&D credits handled through partner firms.
Transparency: Pricing tiers are published, but the total cost including onboarding, supplemental charges, and tax is harder to predict. Annual commitment required upfront.
Best for: Series A and beyond startups that want a well-established provider and don't mind the annual commitment.
Trade-offs: Onboarding has been reported to take up to 3 months. The $145/hour supplemental rate for tasks outside the base scope can add up. Monthly close means your data is always somewhat stale. Annual upfront payment is a significant commitment before you've tried the service.
Kruze Consulting
What it is: A full-service CPA firm focused on venture-backed startups. Offers bookkeeping, tax, R&D credits, and CFO advisory.
Pricing:
Bookkeeping starts at ~$600/month
Full-service engagements for Series A+ can run $2,000 - $4,000+/month
Tax preparation and R&D credits priced separately
Annual cost for a seed-stage startup: ~$10,000 - $20,000+ (depending on services)
Close cadence: Monthly.
Integrations: Works with standard startup tools but is more service-driven than technology-driven.
Metrics: Provides financial reporting but not a self-serve SaaS metrics dashboard. Metrics analysis is typically part of CFO advisory engagements.
Tax support: Strong. As a licensed CPA firm, Kruze handles tax filing, R&D credits, and strategic tax planning directly. This is one of their key strengths.
Transparency: Pricing is generally available through consultation. Not as immediately transparent as Median's published pricing.
Best for: Series A through Series C startups that need a full-service CPA firm with deep expertise in venture-backed startup accounting and tax.
Trade-offs: Significantly more expensive than newer platforms, especially for early-stage startups. Monthly close cadence. The service is more traditional in its delivery model.
Bench
What it is: Online bookkeeping that pairs proprietary software with human bookkeepers. Originally focused on small businesses, now serves some startups.
Pricing:
Bookkeeping starts at $299/month (billed annually) or $399/month (billed monthly)
Bookkeeping + tax: $599/month (annual) or $699/month (monthly)
Annual cost for a seed-stage startup: ~$4,800 - $8,400 (depending on plan and billing cycle)
Close cadence: Monthly.
Integrations: Proprietary platform with limited native startup-tool integrations. Does not natively integrate with Stripe for SaaS revenue recognition, Ramp/Brex for expense management, or Gusto/Deel for payroll.
Metrics: None. No startup metrics dashboard or SaaS-specific reporting.
Tax support: Basic tax filing available on combined plans. No R&D credit support. No startup-specific tax strategy.
Best for: Simple small businesses with straightforward bookkeeping needs and a low budget. Not specifically designed for startups.
Trade-offs: Bench is not purpose-built for startups. No SaaS metrics, no R&D credit support, limited integrations with the modern startup tool stack, and no startup-specific tax expertise.
DIY (QuickBooks Online + Freelance Bookkeeper)
What it is: The classic approach. You subscribe to QBO and either do the bookkeeping yourself or hire a freelance bookkeeper, plus a separate tax accountant.
Pricing:
QBO subscription: $30 - $90/month
Freelance bookkeeper: $500 - $1,500/month
Tax accountant: $2,000 - $5,000/year
R&D credit study: $3,000 - $5,000/year (if applicable)
Metrics tools: $100 - $300/month (if applicable)
Annual cost for a seed-stage startup: ~$13,000 - $33,000 (all-in)
Close cadence: Monthly at best. Often quarterly in practice.
Best for: Founders who want maximum control over every aspect of their financial operations and have the time to manage multiple vendor relationships.
Trade-offs: By far the most expensive option when you add up all the components, and the one that requires the most of your time.
